Login issue: I am able to log in to NYU Home, but I am not able to log into MARS. How do I login?

What is MARS?

MARS is the Meeting and Reservation System of the College of Nursing and College of Dentistry. MARS displays academic course classroom assignments for both schools and is used by individuals and groups to request and reserve meeting and conference rooms. Students can use MARS to reserve group study rooms in the Learning Commons on the third floor of 433 First Avenue.

You can reserve a room by following these steps:

How do I reserve a room?

You must have an active NetID at the College of Nursing or College of Dentistry in order to reserve space in MARS. All rooms, with the exception of the 11th Floor Conference Center, can be scheduled through the MARS System. Once you enter your Net ID, you will be able to view the calendar of available spaces based on your school affiliation. The system will prompt you to begin your reservation.

You can reserve a room by following these steps:

  1. Under Reservations, click on a room type.
  2. In the When and Where (left) pane of the page, complete the following to search for a room or rooms:
  3. Enter your date and time criteria.
  4. In the Setup Information section:
  5. Enter your attendance
    Select setup type
  6. Click on Find Space.
  7. Select the desired room, accept terms and conditions and click Continue.
  8. Complete user information
  9. Click Submit to complete reservation.

How do I secure Audio-Visual (AV) services for my event?

MARS provides information on audio-visual equipment, furniture set up and catering services available in each room. Requests for special equipment/services should be noted on the reservation form if available in the desired room.

Can I serve food at my event?

The MARS system identifies event spaces where food and drink are permitted. Food orders are the responsibility of the event organizer.

Why can’t I find the room I want to reserve in MARS?

If a room is not on the list of available space when you log into MARS, it’s possible you do not have reservation rights for that space. For example, classroom space may only be booked by certain individuals.

I am a student. What spaces am I able to reserve?

Students may reserve Group Study rooms in the Learning Commons on the 3rd floor of 433 First Avenue.

College-sanctioned student groups can request spaces for meetings and events. These requests are reviewed and approved by the appropriate college’s Student Affairs office.

Who is eligible to use the Group Study Rooms?

Group Study Rooms (and the Commons itself) are open to all College of Nursing and College of Dentistry students and to NYU Polytechnic School of Engineering Bio-Engineering students. Group study room priority usage is for groups of two or more eligible students with proof of advance reservation. Group study room users without reservations must vacate the room when requested by a group with proof of valid reservation.

How far in advance can a Group Study Room be booked?

Reservations may be made up to 14 days in advance for a maximum of two hours a day per group.

When is a Group Study Room reservation considered cancelled?

A reservation will be considered cancelled if the group does not arrive within 10 minutes of their scheduled reservation.

A group is able to cancel a reservation through MARS. Please see the question “How do I cancel a reserved space?”.

What if an individual student is using a Group Study room?

Single users in a group study room (with or without reservations) may be asked to vacate the room for groups of two (2) or more studying together.

How long may a Group Study Room be used by a group of students?

Reservations are for a maximum of two hours a day per group. Members of the same study group are not allowed to extend group study room time beyond two hours.

How do I know if my reservation has been confirmed?

You will receive an email confirming your reservation. Reservations should be considered pending until an email confirmation is received. It is the responsibility of the event organizer to notify attendees of event details.

You can see your confirmed reservations by logging on to MARS, opening the Requests page, under Reservations, click View My Requests.

Can I reserve space on the weekend?

Some spaces may be reserved on the weekend. Weekend events require more planning and, therefore, need to be booked at least two weeks in advance. There may be additional costs for off-hours security and facilities set up.

How do I cancel reserved space?

Reserved space can be cancelled through the MARS system.

Open the Requests page; Under Reservations, click View My Requests.

Select the reservation you would like to cancel, click the red "X" box icon next to the booking and follow the prompts.
